This guide explains how to reassign a physical Yealink desk phone from one user to another within your Natterbox setup in Salesforce. It is intended for administrators who manage hardware assignments and user settings, for example when a device changes hands following a new starter, a leaver, or a desk move.
Overview
When a Yealink desk phone needs to move from one person to another, the device must first be unassigned from the current user and then assigned to the new user in the Natterbox Users tab. Once the phone is rebooted, it automatically fetches its new configuration and registers under the new user's account, displaying their name and extension.
ℹ️
Note: A physical device can only be assigned to one user at a time. Make sure the phone has been fully removed from the current user before assigning it to the new user.
Before You Begin
Make sure you have the following in place before reassigning the device:
Administrator access to the Natterbox Users tab in Salesforce.
Natterbox Administrator Licence.
Natterbox User Licence for the new user.
Physical access to the Yealink desk phone, or a colleague on site who can reboot it.
How to Reassign a Yealink Desk Phone
Step 1: Remove the Phone From the Current User
Navigate to the Natterbox Users tab in Salesforce.
Select the user profile the phone is currently assigned to.
In the Devices Ring Order section, click Edit.
Click Assign Devices, remove the Yealink phone from the assigned devices list, and click Save.
Step 2: Assign the Phone to the New User
Open the profile of the new user under Natterbox Users.
In the Devices Ring Order section, click Edit.
Click Assign Devices, select the Yealink phone from the list to assign it, and click Save.
Make sure the device's Available checkbox is ticked in the ring order so that it rings for the new user.
💡
Tip: The Available checkbox controls whether an assigned device is included in the user's ring order. It is unticked by default for manually assigned devices, so remember to tick it and save.
Step 3: Reboot the Phone
Reboot the physical Yealink device, either via the phone menu under Menu > Basic > Reboot, or by power-cycling the device.
Wait for the phone to restart. On boot it automatically fetches the new configuration, updates the screen with the new user's name and extension, and registers under their account.
Verifying the Reassignment
Confirm the reassignment was successful by checking that:
Calls to the new user's extension ring the phone.
The device no longer appears against the previous user in the Devices Ring Order section.
⚠️
Warning: If the phone still shows the previous user's details after rebooting, confirm the reassignment was saved successfully in Salesforce, that the device is marked as Available in the new user's ring order, and then reboot the phone again.
Frequently Asked Questions
Do I need to manually configure the Yealink phone with the new user's details?
No. Once the device is reassigned in Salesforce and the phone is rebooted, it automatically fetches the new configuration and registers under the new user's account. No manual configuration of the handset is required.
What should I do if the phone does not display the new user's details after rebooting?
Check that the reassignment was saved successfully in Salesforce, that the device is marked as Available in the new user's ring order, and then reboot the phone again.
Can a Yealink desk phone be assigned to multiple users at the same time?
No. A physical device can only be assigned to one user profile at a time, which ensures calls route correctly.
How do I power-cycle the phone if I cannot find the reboot option in the menu?
Unplug the power cable, or the network cable if the phone is powered over Ethernet, wait around 10 seconds, then reconnect it. The phone will restart and fetch its configuration.
Will the local call history on the phone be cleared when it is reassigned?
Yes. Rebooting and fetching the new configuration typically clears the local call history and registers the phone fresh for the new user.
